Template preparation

Send your document templates to Team Engine

Before you can send Offers, you need to give Team Engine your document templates.

Depending on workload, this process can take up to 15 working days from the day we receive ALL your Crew Contract templates and Forms (Information docs can follow down the line).

Please closely review & update all your templates before sending to Team Engine. Lawyers often leave optional language in templates for you to choose from, and spots to add 'Company representative', e.g. contact person on Child Protection policy.

In order to be fair to all projects, Team Engine can't add a project to the queue to have their templates prepared until we receive FINALISED templates*.

*Not including 'Alternative contract templates' (see below). Those can follow down the line, but if sent later than 10 days after the main crew templates are operational, then the 'Amend/Add template' charge (price subject to applicable pricing quoted upon project startup).


To onboard any crew to your project, you'll need Crew to complete typical starter documents, which could include (as applicable) any of the below. Engine can handle them all:

Agreements

Sometimes called a Deal Memo (which is actually just the summary bit), this is actually the Contract document which engages the Crew member to the production.

  • Weekly crew templates

    • PAYE template

    • Self-Employed templates
      a. and b. are sometimes combined into one 'Direct Hire' template whereby the crew member is engaged directly

    • Loan Out template

  • Daily crew templates
    Ideally the wording for engaging Daily crew is combined into the Weekly templates

    • PAYE template

    • Self-Employed templates
      a. and b. are sometimes combined into one 'Direct Hire' template whereby the crew member is engaged directly

    • Loan Out

  • Alternative crew templates
    You might be engaging some crew on deals which differ to the main crew, e.g.

    • Construction crew

    • Electrical Rigging crew

    • Transport crew

    • HODs

Where possible, we recommend reducing the number of templates as much as possible by combining wording into one template.

Of course, they still need to be legally watertight, but the less templates, the less chance of divergence (differences between many templates).

e.g. HOD templates often only differ slightly. Credit clause, Consultation over crew, additional H&S responsibilities could have conditional language, e.g. 'if engaged as an HOD' added, or inserted manually into the Special Stips within every contract created by Engine.


Variations to deals

Engine can handle deal variations, so your templates need to be able to reflect such variations, for example

  • Via an Agent

  • Special Stipulations

  • Custom overtime rates

  • Non-applicable overtime

  • 5, 5/6, 6 day deals

    • Note: all contract templates are based on 5-day working weeks (not that those 5 days are guaranteed (only the Notice week is guaranteed)), and only days which are worked are paid. Part-time engagements, e.g. job shares or working less than 5 days per week, are typically not explicitly covered in contract language. Until they are, Engine only offers 5 days as the minimum working days per week.

  • Allowances (Computer, Equipment, Vehicle etc)

  • Per Diem (shoot, non-shoot, standard or varied per crew member)

  • Custom document uploads e.g.

    • H&S training

    • Guild/Union Awareness training

    • PCO licence, insurance etc

    • Plant hire licence(s)

    • any custom need which requires crew to upload proof of said need.


Forms

Riders to deal:

  • Computer rental (Crew enter make/model/serial only)

  • Software allowance (Crew upload proof of subscription(s))

  • Box rental (Tools of trade. Crew upload inventory inc insurance replacement-values)

  • Equipment rental (Substantial kit. Crew upload inventory inc insurance replacement-values)

Other legal forms:

  • NDA / Confidentiality form

  • Status Determination Statement ('SDS Letter' - processed for IR35 for Loan Out crew)

  • Conflict of Interest (Discuss with Team Engine the options available to you for this form)

  • Policy Acknowledgement form (Lists all policies (Informational documents - see below) which crew then sign to acknowledge their receipt & adherence to)
