Why can't I see and select 'Loan Out' when editing an Offer?
You only see 'Loan Out' on the Custom tab (depending on your Offer handling settings) IF the Crew member has already specified (in their existing account) that they have a Loan Out company on the 'Company' tab in their Startpack.
This way, the Project doesn't need to know if the Crew member has a company or not (Crew do that bit). The Project are just saying, 'Yes, based on this job title and our understanding of HMRC and Appendix 1, we permit this role/offer to be Self-Employed (& therefore could be Loan Out if crew member has a Loan Out company)'.
Why is the recipient name changing when I save an Offer?
If the recipient email address of an offer you've saved has already been used to create a Team Engine account, then the 'Full name' (and 'Mobile number') may update to how the crew member has saved those values in the startpack of their existing account, on the assumption that they know the correct spelling of their name but you might not.
I can't save an offer with a 'Project' email address
If the email address entered as the recipient in an Offer has been used to create an existing Team Engine Project account, the user is warned that this email cannot be used.
'Project' accounts are different to 'Personal' accounts as they're used to create film/tv projects. If that email address is the crew member's only one, then contact Team Engine for them to delete the Project account in question. Once confirmed, ask the crew member to correctly create a Personal account here.
Why is the agent email different to the one I have for them?
When drafting an offer, you can tick the box 'Check the box if this deal is via an agent' to enter the email address of the agent you've been liaising with.
If you've ticked the box and the agent email is already saved and is read-only (can't be edited by you), then the crew member and new agent need to be advised to update the crew members startpack accordingly:
Log in: app.teamengine.co.uk
Only the Agent does this step:
Click Profile icon > Account > Access > click GO TO alongside crew member's name
Click Profile > Startpack > Contact tab
Scroll to the 'Agent' subsection
Update the 'Agent correspondence email address'
Update any other incorrect Agency/Agent details if necessary
Click 'Update contacts'
The email address in the Offer will then be updated to the new 'Agent correspondence email address'.
Note - using 'Check the box if this deal is via an agent' merely sends an email notification to the specified email address.
In order for the Agent to handle their client's Startpack and Offers (& Timecards if applicable), the crew member needs to share their Team Engine account with their Agent: follow these instructions.
This crew member is not working 5 days a week, how do I enter their deal?
99% of all crew contract templates are based on a 5-day working week, and all legal language caters to that. Therefore, currently Team Engine only provides the option for a 5, 5.5 (i.e. 11-day fortnight) 5/6 or 6 day working week in Offers.
If you need to hire a crew member on less than that, select '5 days', and then in the 'Other Deal Provisions' add wording to cover the arrangement, e.g. 'Only working a 3-day week because the position is being job-shared'. Enter the Daily rate accordingly, and the Weekly rate will be shown as 5 times that, and paid as such if worked (when using a Team Engine Timecard module).
Buyout deal
Similarly, there is no built-in option to cater for 'buyout' deals for 'run of show'. However, if the buyout is 'weekly', then the 5-day week rate can be used, and 'Custom OT rate' selected (instead of 'Calculated by default') and set to zero so that overtime rates on any contract documents is shown as zero.
In addition, in order that Overtime is never calculated on Timecards (if using them), in Manage Crew, a production Controller can 'Edit defaults' of said crew member accordingly:
