Key deal points of an Offer, e.g. Name, Role, Rate, Dates etc.


Recipient

Complete all the required fields

  • Full name

If the recipient email address of an offer you've saved has already been used to create a Team Engine account, then the 'Full name' (and 'Mobile number') may update to how the crew member has saved those values in the startpack of their existing account, on the assumption that they know the correct spelling of their name but you might not.

  • Email

Ensure this is the recipient's preferred email address for use on their engine account.

  • Mobile number
    (not a 'required' (essential) field. This will update when the crew member creates their Team Engine account (if not already))

  • Check the box if this deal is via an agent

    • Agent email

If you tick the box and the agent email is already saved and is read-only (can't be edited by you), then the crew member and new agent need to be advised to update the crew members startpack accordingly.

  • Alternative contract

    • HOD

    • No contract (all other documents to be processed)

    • Senior agreement

HOD
Only select this if you have dedicated HOD contract templates (check: Settings > Documents: Current templates)

No contract
Select this if you're processing the contract for someone off-Engine, but would still like to process other documents on Engine (sign forms, submit passport, etc).

  • If you don't need Timecards, or accurate Timecards (just recorded days worked) from this crew member, then you needn't enter the actual Daily rate.

  • If you do need accurate Timecards, you must enter the actual Daily rate.

Senior agreement

For crew on certain rates, overtime might be negotiable. Select 'Senior' here to set 6th and 7th days to single time (1T).



Unit and Department

  • Unit
    (Click here for instructions to add more Units)

  • Department

  • Sub-department
    (you can't create new Departments, but you can create Sub-departments; you can do that upon offer-creation, or down the line in 'Manage Crew')



Role

Select a Department first. You'll then be shown a list of job titles in that department.

  • Job title

    • Type to search titles in that dept

    • If you can't find what you need, tick 'Search job titles from all departments?'

    • If you still can't find what you need, tick 'Create your own job title (only available to this project)'

It's best to find an existing job title.

Job titles you create yourself will default to PAYE, so you will need to override to Self-Employed as applicable.

  • Job title suffix
    Use an existing job title, but append it to customise it to your needs, e.g. 'Unit Driver to Cast #1'



Tax Status

This sub-section appears depending on your 'Offer handling' settings

  • Allow as self-employed or loan out?

    Only someone set as 'Accounts Controller' can amend this setting, based on their experience and understanding of HMRC Appendix 1 as to what role is permitted to be engaged as Self-Employed or not.

    When set to 'Yes':

  • Status determination reason

    Specify from the built-in options or enter your own custom reason:

Sometimes, having set 'Allow as self-employed or loan out' as 'Yes', the Engagement type still shows as PAYE.

This happens for roles which Engine still considers to be PAYE, so the Accounts Controller must do an additional override (to Self-Employed), on the Custom tab of the Offer.



Engagement

  • Currency

  • Fee per day including holiday

    Depending on Project type and Job title, these fields can vary:

  • 6th day fee multiplier

  • 7th day fee multiplier

    If 'Alternative contract' is set to Senior, these fields won't appear:

  • Other O/T

  • Camera O/T (SWD)
    i.e. Shooting overtime on a Standard Working Day

  • Camera O/T (SCWD)

    i.e. Shooting overtime on a Semi-Continuous Working Day

  • Camera O/T (CWD)
    i.e. Shooting overtime on a Continuous Working Day

Overtime can be changed from 'Calculated per agreement' to 'Custom O/T rate' should you need to change somebody's deal to, for example, zero overtime because they're on an all-in deal, or a bespoke rate e.g. for Unit Drivers.



Other

  • Budget code
    If known, enter the salary budget code here. The Allowances tab contains fields for entering budget codes per allowance.

  • Other deal provisions

    Restricted to 300 characters (not words, including spaces), use this box for additional terms e.g. 'Working a 3-day week'. Use 'Special stipulations' (50 characters each) on the Custom tab for longer terms.

  • Additional notes

    Additional notes are shown to everyone in Offers in Engine, but not on contracts/documents.


If you edit any field on the page, click 'Save' at the bottom of the page so you don't lose your changes.

If you've already sent the Offer for approval, changes you make will be shown immediately to the approver(s). It's not essential to click 'Re-send'.
