Sections of your startpack

Where is specific information saved in my Startpack?

There are 5 (sometimes 6) sections of your Startpack, known as 'tabs' (like the tabs on paper folders).



Basic

This is where to find the following fields:

  • Names

    • Title

    • Middle names

    • Also known as

    • Screen credit name

    • Pronouns

  • First and Last name

    • Can be edited in your 'Account' area


  • Personal

    • Sex

    • Date of birth

    • Country of permanent residence

    • Country of legal nationality

      Your 'Sex' is collected for HMRC (UK) purposes. Sex is shown on your: birth certificate, or gender recognition certificate​

  • Passport

    • Your full name as it appears on your passport

    • Passport number

    • Passport issuing country

    • Upload a file of your passport

  • Dietary & health

    • Dietary requirements

    • Allergies

To save, click UPDATE BASIC (at bottom of page)

  • Also click Update Basic if you need to step away, because Engine will auto-logout after 15 minutes of inactivity (for the security of the data within).



Contacts

This is where to find the following fields

  • Address

  • Contact information

    • Mobile telephone number

    • Other telephone number

    • Email address (click the 'My account' link to edit your email address)

    • Email address for payslip

    • Email address for pension

      You can change these if you’d like your payslip or pension emails to be emailed to an email different to your Engine account email address.

  • Emergency contact

    • Emergency contact full name

    • Emergency contact relationship

    • Emergency contact telephone number

  • Agency

    • I have an agent (switch)
      (Agent details are retained if you turn this off for a job, and reactivate it for the next job)

    • Agency name

    • Agency address

  • Agent contact information

    • Agent telephone number

    • Agent correspondence name

    • Agent correspondence email address

      The name & email address of the Agent or Assistant who will deal with correspondence sent from Engine.

    • Send emails to crew member also?

      Enable this if you would like the crew member to also receive Engine email notifications.

    • Agent signatory name

    • Agent signatory email address

      The name & email address of the Agent who will sign contracts sent from Engine.

  • Agent bank account

    • Agent bank name

    • Agent bank branch

      If this bank account is online-only, enter 'Online' here.
      (Some payroll providers or productions who run their own payroll use the 'bank branch' as additional information to verify an account).

    • Agent bank account name

      Must match the account or payments may fail.

    • Agent bank sort code

    • Agent bank IBAN (Optional)

    • Agent bank SWIFT / BIC (Optional)

  • Also click Update Contacts if you need to step away, because Engine will auto-logout after 15 minutes of inactivity (for the security of the data within).



Allowances

If a project is paying you as part of your deal to provide something (e.g. kit, vehicle, phone etc) then you must provide proof of what you're providing in order to be able to accept the Offer.

Don't enter currency symbols.

Some internet browsers will allow currency symbols to be entered in number fields. This can cause the page to fail to save.

For example, just enter '1000', not '£1000'.

  • Box rental
    ‘Box’ means your ‘tools of the trade’ for which the project are paying you.

    • Insurance replacement value of your box

      This is the cost to replace your kit should it be stolen or be destroyed for example in a fire, and the production has agreed that it is covered by their insurance policy.*

    • Box inventory list with insurance values

      Upload an itemised list of your kit, with an insurance replacement value for each item. Lists can be PDF (or JPG or PNG) only (not Word, Excel, Pages etc), up to 5MB in size.


  • Computer
    Include accessories you also provide as part of your computer allowance.

    • Computer description & serial number

    • Insurance replacement value of your computer

      This is the cost to replace your computer should it be stolen or be destroyed for example in a fire, and the production has agreed that it is covered by their insurance policy.* This must be a PDF, JPG or PNG, up to 5MB in size.


  • Software

    • Software description
      e.g. CAD design software tools.

    • Software total annual cost

      The annual cost of your software subscription.

    • Upload your software licence
      If you are being paid for multiple software's, then please combine all licence/receipts into one file and upload that. This must be a PDF, JPG or PNG, up to 5MB in size.


  • Equipment
    Substantial kit, not just ‘tools of the trade’, for which the project are paying you.

    • Insurance replacement value of your equipment
      This is the cost to replace your equipment should it be stolen or be destroyed for example in a fire, and the production has agreed that it is covered by their insurance policy.​*

    • Upload your equipment inventory list with insurance values

      Upload an itemised list of your kit, with an insurance replacement value for each item. Lists can be PDF (or JPG or PNG) only (not Word, Excel, Pages etc), up to 5MB in size.


  • Mobile
    Some projects might require information about your current mobile phone subscription in order to pay you for it.

    • Upload your latest mobile phone bill summary page
      This must be a PDF, JPG or PNG, up to 5MB in size.


  • Vehicle
    Share the details about your vehicle with a project for the purposes of site access and parking.

    • I will use my own vehicle
      Toggle the switch accordingly. The switch will be locked to 'on' if you are being paid 'Vehicle allowance'.

    • Vehicle details
      Make, Model, Colour, Registration number

    • Upload a file of proof of vehicle insurance for business use

      Most productions require that you provide proof that you sufficient insurance coverage for using your vehicle (the one they're paying you for) for 'business use'. Most insurance companies provide this cover at no additional cost. This must be a PDF, JPG or PNG.

      Some insurance documents contain a password to open it. For security, Team Engine scan documents for viruses before saving them.

      If your Vehicle insurance fails to upload, then please open the document outside of Team Engine, screenshot the relevant page (or print pages to a new PDF) and upload that file to Team Engine instead.

    • Vehicle insurance expiry date

      Team Engine can't read the insurance documents you upload, so please enter the latest, valid expiry date. This must be a future date.

    • Upload a file of your driving licence

      This must be a PDF, JPG or PNG, up to 5MB in size.

*Subject to the project's insurance policy. Please check with the production - either in the homescreen of the Messenger, or in Team Engine click 'Contact this project' to speak to the relevant people.



Payment

Various values which are used to pay you correctly.

There are some fields which are applicable only if you are resident in another country (e.g. Ireland, Iceland, Malta) - you can ignore those not applicable to you.

When you are sent an Offer, clicking 'Edit startpack' from within the Offer will show you only the fields relevant to that project, and which fields must be completed in order to accept that Offer.

  • Ireland only

    • PPS number

    • Tax clearance access number

  • Iceland only

    • KT number

    • Personal bank number (Iceland)

    • Personal bank HB (Iceland)

    • Personal bank account number (Iceland)

  • Malta only

    • Upload your completed FS4 Form

    • Upload your last Payslip from previous job

  • UK only

    • Upload a file of your P45 (If you have been sent your latest one from your most recent job)

    • For PAYE contracts only (Questions re: first job, only job, another job or pension)


  • Student loan
    You'll be prompted through the questions based on your answers.



  • VAT

    Self-Employed and Loan Out crew can specify their VAT details here.

    • VAT number

    • Upload a file of your VAT certificate
      This must be a PDF, JPG or PNG, up to 5MB in size.


  • Personal bank account

    Add your personal bank details, even if you’re being paid via an Agent or Loan Out company. This is because some payments (e.g. petty cash) can be paid to you personally.

    Agent bank details are on the Contacts tab (Agent section).

    Loan Out company bank details are on the Company tab.

    • Personal bank name

    • Personal bank branch

      If this bank account is online-only, enter 'Online'.

    • Personal bank account name

      You must enter the name on the bank account, or payments may fail. e.g. ‘Mr J Bloggs’.

    • Personal bank sort code

    • Personal bank account number

    • Personal bank IBAN

    • Personal bank SWIFT / BIC

      Enter the bank account IBAN if you have one (typically for non-UK bank accounts). Same for SWIFT / BIC.


      Iceland only

    • Personal bank number (Iceland)

    • Personal bank HB (Iceland)

    • Personal bank account number (Iceland)



Company

If you use a limited (loan out) company, e.g. Joe Bloggs Camera Limited, 'enter those details here.

Check this box if you have a Limited Company through which you are being engaged, as a ‘loaned employee’ to the project.

Complete all your company information (some fields are specific only to other countries (Ireland, Iceland, Malta). Only complete those relevant to you.

  • Company name

  • Company registration number

    The company registration number can be obtained from Companies House.

  • KT number

    Applicable for Iceland only.

  • Company country of incorporation

  • Upload a file of your loan out company certificate of incorporation

    If you don’t have a copy to hand, you can download it from Companies House.


  • Company tax

    • VAT registered?

    • Tax registration number (Ireland)
      Applicable for Ireland only.

    • Tax clearance access number (Ireland)

    • Applicable for Ireland only.



  • Company contacts

    • Company address

    • Person who will sign contracts on behalf of the Company

      The name of a director of the Loan Out Company. If that is you, enter your name.

    • Email address of person who will sign contracts on behalf of the Company

      The contract which is created for this engagement will be emailed to this address for signature. Don’t enter your Accountant’s email here if they are not a Director of the Loan Out Company.

    • Have someone else sign contracts on behalf of the Company

      If someone other than you, i.e. another company director, will sign on behalf of the Company, toggle this switch to 'on' and then edit the values above.



  • Company bank account

    • Company bank name

    • Company bank branch
      If this bank account is online-only, enter 'Online'.

    • Company bank account name

      You must enter the name on the Loan Out Company bank account, or payments may fail.

      e.g. ‘Bright Sparks Limited’. Don’t enter the individual’s name on the bank card, or your personal name.

    • Company bank sort code

    • Company bank account number

    • Company bank IBAN (Optional)

    • Company bank SWIFT / BIC (Optional)

      Enter the loan out company bank account IBAN if it has one (typically for non-UK bank accounts). Same for SWIFT / BIC.



Other

If a project want you to provide other documentation which Team Engine doesn't collect as standard as part of your Startpack, those documents live here.

A project might ask for any of the following documents, and more. You will need to provide them in order to accept your Offer. That might mean that you have to complete a course first, e.g. Screenskills Training, then you upload the certificate get on completion of that course.
