Write your own Timecard

Log each day you work, and once it's approved, be paid for it


You can write your own Timecards, or someone in your Department can write ('Generate') Timecards for you. Click here for instructions for 'Generating'.

Someone in your Department can then review/amend/approve your Timecards.


The Production team can assign those Departmental generators ('Admins') or approvers ('Controllers'), in Settings > Admin.

Department Admins or Department Controllers don't have to be assigned if the Project don't want. e.g. they may not be needed for a small department like Sound or Script Supervisor.

When a Department Admin (or Department Controller who can also generate) is assigned, crew members are still able to write their own Timecards - it's on a first-come first-served basis:

  • If the Department Admin writes the Timecard first, crew members cannot edit it (to avoid back & forth confusion) but they can click the link provided (at the bottom of each Timecard) to submit their comments to the generator.



Write your Timecard

Click on 'Go to my timecards' on the relevant project.

Or within the project, click on 'My timecards'.


Then click on a day to add/edit that day.

For each Timecard, change the 'Day type' to 'Work' to be able to amend all the other fields.


If Departmental Admins or Controllers are not assigned, then the route for your Timecards is:

  1. You write your own Timecard
    (you can do this any day of the week)
    ​

  2. Once your working week has finished, click 'Submit week'
    ​

  3. Your Timecards are then with Production (the Production Controller) to review, edit as necessary, and approve
    ​

  4. Finally Accounts (the Accounts Controller) also review, edit, and approve.


Within each Timecard you can see it's status at the top:

The above example has been approved by Dept, and is now awaiting Prod approval.

At each stage the current approver can revise the Timecard. So in the above example, Dept (your Dept approver of Timecards) can click REVISE and make changes.


Any revisions are visible to you (& everyone in the chain) in red. Click on any red item to see the amendment history.

Here you can see that the Dept approver changed Cam O/T to 1.5.


Once fully approved, the status will show that in green.

Self-Employed or Loan Out crew know they can raise their invoice.

If the project have chosen to add on the 'Share timecard PDF', then the Accounts team can share the PDF of your Timecard which contains the breakdown of the money (Salary, Holiday Pay, Penalties & Overtime (Early call, Broken Turnaround (BTA), Late lunch, Broken lunch, Camera O/T, Post O/T, Enhanced O/T, Additional Contracted Hour (ACH), as applicable to your project & your deal).

This makes it easier for Crew when raising their invoice.



When your Timecard has been written for you

When your Department have written ('Generated') your timecard for you, you still have the chance to review to what's been written.

You can't edit what's been generated for you, but you can send a comment about the Timecard; click the link at the bottom of the Timecard:

Once you are happy with the Timecard, click 'Submit day', or 'Submit week' if you know you won't work any more that week.

If you don't manually submit like this, the saved Timecards will be automatically submitted at the 'Crew submission deadline', at the end of the week.
