Manage crew

Once crew have accepted their Offer they appear in this view

Use this page to view the crew who who have accepted their Offer to your Project.

  • See a list of who is connected, in Departmental order

  • Choose to sort the list by first name, last name, job title

Use various functions:

  • View the current offer of a crew member

  • Set the start date of Timecard per crew member (needs an active Timecard plan)

  • View/Edit defaults per crew member (needs an active Timecard plan)

  • End the contract of a crew member(s)



View the current offer of a crew member

Check the contents of an Offer.

  • Click the '3 dots' menu

  • Click 'View current offer'

  • The Offer will open in a new tab


Adjust the start date of Timecards per crew member

(Needs an active Timecard plan)

Use this feature to enable a crew member to submit Timecards for a date before their contracted Start date, e.g. for an ad-hoc prep day, or recce.

  • Click the '3 dots' menu

  • Click 'Set timecard start'

  • Edit the 'First working day' accordingly

  • Inform the crew member that they can now submit timecards from that date

  • The 'Timecard start date' will be restricted by the End date of a previous offer if it exists

  • If you require much earlier Timecard start dates, or you require all contracts to reflect the earliest known date of work, then you should recontract that crew member

If you need to recontract, you must do this before a subsequent Offer is accepted for this crew member. Offers must be raised in chronological order. Only the most recent Offer can be corrected.



View/Edit defaults per crew member

A Timecard module must be active in order to see this functionality; Overtime rules are not an issue until Timecards are in used.

Only someone with Production Controller Admin rights is able to 'Edit defaults' of crew, because it's akin to approving an Offer, i.e. whether or not overtime should automatically calculate for a person.

  • View each crew member's default place of work, and the overtime they get in that place

  • Depending on your Project setup, Team Engine will prefill the correct defaults in each Offer, reducing errors reaching Manage Crew and Timecards.

  • Click the '3 dots' menu, click 'Edit defaults'

  • Or, tick multiple crew members who's defaults you want to change all in the same way, then click 'Edit defaults' button

Change a crew member's defaults so that their Timecard prefills correctly with their primary place of work, and if they're On set, the Unit calendar day during the shooting period.

Each crew member's settings being correct here in Manage Crew reduces errors in Timecards and ensures accurate Overtime & Penalties for the Approvers to agree, and crew to understand.

  • Click 'Show details' at the top to view the current settings for the selected crew member(s)

  • Tick the element(s) you want to amend, make your changes, then click 'Apply changes'

Without re-contracting crew, move them to a different Unit, e.g. for the purposes of managing their Timecards.

  • Unit

  • Department
    You're not able to create new Departments but you can create new, or select existing, Sub-departments. Sub-departments appear as 'Department - Sub-department'.

  • Regular site
    Move crew from Off set to On set or vice versa. IMPORTANT - During the shooting period, any 'shooting crew' whose hours are governed by the camera rolling, should be set to 'On set'. This will ensure that their working hours respect the shooting length of day (& other values) as set in the Calendar for that Unit day.

  • Camera O/T (overtime)
    If the shooting goes beyond the scheduled end of day, and the agreed Camera O/T requested is entered in the Unit calendar, then Camera O/T needs to be set to 'Yes' here in Manage Crew.
    (can also depend on your Project settings and Additional Contracted Hour being applicable in the crew member's Offer)

  • Other O/T (overtime)
    Is overtime due for time worked beyond the completion of contracted hours? If so, this needs to be set to 'Yes' here in Manage Crew.

    • You can further configure 'Inclusive prep and wrap minutes', i.e. reasonable prep and wrap time (as is typical to complete the crew member's duties) included in their contracted day for no additional payment.


      Select 'Minutes across' if that time is to be aggregated across the day, i.e. 60 mins across, whether that's used prior to Unit call or after Unit wrap.


      Select 'Minutes across' as zero (i.e. no prep and wrap) to pay O/T straight away once the contracted hours have expired.


  • SCWD or CWD allowed when Off set?
    Choose whether or not Off set (non-shooting) crew can work anything other than a Standard Working Day (SWD). Shorter day types (SCWD and CWD) are about accommodating shooting restrictions (locations, make-up/costume changes, cast, scenes, etc).

    The PACT BECTU 2023 TV Agreement states that:

    Head of Department may request that specified individuals within their department are temporarily scheduled on a non-shooting SCWD or CWD. This request should only be made when that individual’s work load is not expected to exceed their Contracted Hours, and then in exceptional circumstances only. This request may be made only by the Head of Department and will be subject always to prior written approval from either the Line Producer or Producer’s Nominated Representative.

    Set this to 'Yes' to permit Crew or Dept Admins (Timecard generators) the ability to select between SWD, SCWD and CWD in Timecards.

  • Allow crew to enter paid travel time?
    Set this to 'Yes' to permit Crew or Dept Admins (Timecard generators) the ability to specify their individual Travel time in Timecards. Having this set to 'No' leaves the control with the production, and means that Approvers have to amend Travel time in Timecards manually as applicable.



End contract

End the engagement on the same date for one or more crew members, and choose whether to send an email notice of the termination, and to whom.

  • To end just one crew member click the '3 dots' menu then click 'End contract'

  • Or, tick multiple crew members who you want to end all on the same End date, then click 'End contracts' button

  • Enter the dates accordingly

    • Last day of contract. This will be prefilled from the Offer if it was entered there.

    • Notice date. The date of the start of the period of notice of termination. Typically this is '7 days notice', i.e. the date 1 week prior to the 'Last day of contract'. Engine will prefill this date based on your Project settings. You can edit it thereafter if needed.

    • Send notice date & time. Schedule when to send the Notice email. You might want to send it ahead of the legal 'Notice date', backdate it or send a revised Notice asap.

    • Continue as daily. This does not recontract Weekly crew as Daily. Use this feature just to enable crew to submit timecards for days worked beyond their originally contracted end date, e.g. Wrap days (in the same way 'Daily' crew submit timecards, on an ad hoc basis).

    Click 'Show details' at the top to view the current dates for the selected crew members.​

    • Private message. Add a note to the crew member. Remember, if you're sending this Notice to multiple crew, they'll all receive the same message.

    • Signatory. This is the name appended to the bottom of the Notice email (see example email below)

    • Send notice to. Tick who you'd like the Notice email to be sent to.

      • Click 'Recipients' to add as many Production and Accounts emails as you require. Instructions here.
