Approve Timecards for your department

Approve days and hours your department worked to get them paid

The Production team can assign Departmental Timecard approvers ('Controllers'), in Settings > Admin.

Department Controllers don't have to be assigned if the Project don't want. e.g. they may not be needed for a small department like Sound or Script Supervisor.

Department Controllers can also write ('Generate') Timecards for their department, as well as approve Timecards.

A person doesn't need to be a Department Controller AND a Department Admin - the Controller can do everything the Admin can. The Admin just can't approve.



Approve Timecards


Click 'Go to project' on the relevant project tile

  • Click on 'Timecards' in the 'PROJECT' section

  • Click on the Approve tab

  • Click on the A-Z filter to show the department you want



Tick names

Approving in List view (seeing all crew in the Dept)

  • If you don't need to make changes to the Timecard, you can approve single or multiple Timecards in this view

  • Tick the box next to the name(s) of crew who's Timecard you want to approve

  • You are alerted to potential recalculation of Timecards - perhaps something has changed since Timecard submission (e.g. Calendar, Overtime settings)

    Recalc will overwrite any manual changes already made, so only recalc if you want the system to automatically update the Timecard based on the project rules.

  • Click the day column to expand it and see more (red line indicates there is more to see for this Timecard)

  • Tick name(s) and click APPROVE when you are happy



Edit Timecards

  • If you need to make changes to Timecards, click on the Crew member's name in 'List view'


  • The Timecard opens in 'Crew view'

  • Click 'EDIT' on the day you want to change


  • Change the relevant value

  • Select RECALC if you want to recalculate the Timecard based on the new value(s)

DO NOT select RECALC if you want to retain a value you entered (e.g. additional Overtime as agreed, but without updating the hours)

When changing a day from Rest to Work, or Off set to On...

You must match the Day length (e.g. SCWD) and Meal length (e.g. 30 mins) with the Calendar, and then RECALC
