Record shoot days, hours and penalties in order to prefill Timecards


Save days per Shooting unit

Keep a separate Calendar per shooting unit to record everything about the working day. That information then prefills all On set Timecards, thereby governing overtime & penalties.

For each day, you're able to record:

  • Day number

  • Day type (Shoot, Pre-shoot, Test, Rehearsal, Prep, Rest, Travel, Turnaround, Hiatus, Shutdown, Wrap, Post)

  • Public holiday?

  • Workplaces

  • A different length of day than your standard day length (e.g. SCWD or CWD)

  • Extended working day?

  • Duration and times of meal break

  • Travel time taken out of the duration, or paid on top?

  • Calculated fields (as applicable to your project setup) which can be manually overridden

  • Notes

An accurate Calendar kept promptly, reduces errors in Timecards.

Calendar recommend practice

  • Create the calendar day for Shoot day 1

    • Enter the day ahead of time

    • Enter up to Unit call only

    • Only enter Unit wrap when it is official

    • Check that any calculated overtime or penalties are as you expect

    • Then enter the next shooting day, up to Unit call only

    • Repeat the whole process at the end of each shoot day

Doing this prevents Timecards being submitted when the calendar is wrong or missing.

The Calendar is primarily about Shooting days (Shoot, Pre-shoot, Test, Rehearsal), i.e. those for which the working hours might vary, and other penalties might apply (e.g. Camera overtime, Late meal, Night penalty).

However, it's good practice to record all days in the calendar (Prep, Travel, Rest, Hiatus etc). They all appear in Timecards for crew meaning they don't have to remember.



Create a calendar for another Unit

Someone with Production Admin or Production Controller rights can do the following:

  • Go to Settings > Defaults: Places

  • Click on '+ Add new place'

  • Pick a built-in Unit, enter Shoot start Shoot end

  • Pick 'Custom' to enter a unique Unit name

    • Don't enter the word 'Unit' as Engine will append the word Unit automatically in relevant views.

Shoot dates entered here are used only for calendar functionality.
